Xanita (Pty) Ltd is an industry leading paper composite board manufacturer, we also offer design and conversion services in support of our various board offerings. We are seeking to redefine the industry with both our raw product and finished goods.

This Privacy Statement explains the types of personal data we collect, how we use that information, who we share it with, how we protect that information and your rights in relation to your personal data.

Information we collect

When you visit and browse our websites directly or via email hyperlinks (including when you complete an enquiry or sign up form) or when you speak to us by phone or email, you may give us personal information about yourself. We also collect information about the transactions you undertake through our  Ecommerce site (store.xanita.com – See Payments), to allow us to complete the transaction. We collect additional information about your visit to our website using cookies. (See Use of Cookies).

The information you give us may include the following:

your name, postal address, age, email address, IP address, phone number, mobile number, company information and information about your role and company profile such as job title, job function and seniority.  

We also collect information such as plans to purchase, project applications, services needed and your budget. Profile information helps us provide you with relevant communications and services.

How we use the information we collect

Provide you with Xanita products and services To carry out our obligations under a contract with you, for example where you have purchased a 40” Container of Xanita Board We process your personal data to deliver our contractual obligations to you.
Personalise our products and services To be able to meet your requirements and expectations. For example with our design services. It is in our legitimate business interest to meet your needs and give you the best customer experience we can.
Manage your enquiries and offer customer services and support To contact you via your preferred channel (such as email, phone or mail) to provide further information related to your enquiry, for example, design support. We may also contact you by similar channels to respond to your request for help or support. It is in our legitimate business interest to fulfil your enquiry request so that you can receive information relevant to your enquiry or request for help and support.
Administer orders relating to third party suppliers To carry out necessary administration to provide our suppliers with information to complete your obligations such as fulfilling an order using stock warehoused in another country.

We may share your personal data with these third party companies for this purpose. Please contact us to opt out at any time.

Sharing personal information such as name, address, company name, email and phone of the exhibiting company is fulfilling a contractual and legal obligation. Contractors who offer additional services may contact you to offer your relevant services. It is in our legitimate business interest to share your personal data so that you can benefit from these services if required.
Administer subscription records To carry out necessary administration to provide you with information and benefits in line with your subscription such as sending you the Xanita newsletter by email. It is in our legitimate business interest to fulfil the nature of your subscription, and to talk to you about renewing or updating details of the services that we may provide to you.
Provide you with information of our products and services To keep you informed of other Xanita products and services that may be of interest to you. This will be in accordance with any preferences that you may have indicated when you completed a registration form or other data capture form.

It is in our legitimate business interest to keep you up to date with future events that you wish to attend based on your previous registration or attendance at our events or other services such as our Awards programme or newsletter.
Carry out aggregated and anonymised research about engagement with our channels, products and services To understand customer requirements and expectations, and to continuously improve the products and services that we offer. It is in our legitimate business interest to meet your needs and give you the best customer experience we can.

Videography and Photography

We may on occasion use personal data captured during video footage at exhibitions and events to promote our products and services as follows:

* On our YouTube channel

* On our websites, to deliver highlights of our activities to our wider community

* Circulated to Press and other media organisations for publication, transmission or broadcast

By taking part in an interview, you agree to how Xanita will use your personal data. In this instance personal data means your imagery on film which also includes your interview which will be attributed to you – name, job title, company name.

We do not obtain consent for general filming and photography at exhibitions and event. However, if an individual or organisation asks us to not to include them in the shot, due to a concern about privacy, we should normally do so, unless it is editorially justified to continue.

Use of Cookies

We use cookies to gather information about your visit to our website and to keep track of your preferences and browsing patterns, building up a demographic profile. This helps us to improve our websites including features, content and functionality. Most browsers will allow you to turn off cookies.

Xanita Partners

Xanita conducts its business on a global scale and as a result relies on 3rd party distribution partners and agents. Xanita Partners operate on an agreement basis and provide their clients with:

  • Technical support
  • Design support
  • Lead referral
  • Networking opportunities
  • Access to training resources

From time to time we would like to be able to pass your information to your local Xanita Partner.

Third Party Services

Xanita uses third party services to help maintain the security and performance of Xanita websites. To deliver this service, it processes the IP addresses of visitors to Xanita websites. We do not store credit card details.

We also use third party services and systems to provide some functions on our own websites, and marketing functions. These include social media platforms, web analytics services and catalogue publishers. When using their systems, their standard privacy terms apply.

We do not share personal data with any other third parties for any other purpose except as required to do so by government bodies and law enforcement agencies. In the future, we may share your personal data with partners and sponsors and we will always ask for your consent to do so. You can withdraw this consent at any time by contacting marketing@xanita.com.

Other websites

Our website may contain links to other websites that are outside our control and are not covered by this Privacy Statement.  If you access other sites using the links provided, the operators of these sites may collect information from you that will be used by them in accordance with their privacy statement, which may differ from ours.

Payments

We do not store credit card details on our servers and all transactions are processed through a gateway provider (PayPal).

Xanita cannot be held responsible for any external events outside of our control which may prevent you from purchasing a cut-file from our store.

Subject access requests

You have the right to see what personal data we hold about you.  We aim to provide you with all a file of all the information we hold on you within 30 days. We may not be able to provide you with information we hold about you if it would unreasonably affect the privacy of another individual or if by giving you access it poses a serious threat to another individual). To obtain a copy of the personal information we hold about you, please email marketing@xanita.com or write to us at our principal place of business.

Updating or correcting your personal data

When you receive a marketing email from Xanita, you can update your personal details and contact preferences using forms at the footer of the message and following the instructions. This is specific to Xanita communication channels such as email, phone and mail, and other products and services such as our newsletter. These changes are made directly into our systems. In most cases, these updates are immediate. On some occasions, this may take a little longer, so we aim to process all changes within 30 days of notification.

Outside of these emails, if at any point you would like us to stop processing your data for direct marketing purposes, please contact marketing@xanita.com  or write to us at our principal place of business. We will remove you from all future direct marketing communications and add you to suppression lists to ensure that your personal data is not used for this purpose.

Data Retention

We may retain the personal data you provide us for as long as is needed to provide your products and services as listed in this policy. Once the retention period has expired, according to our retention schedule, it will be deleted from the server using appropriate deletion routines to ensure that the information cannot be recovered.

Data may persist in copies made for backup and business continuity purposes for additional times, including information required for regulatory and legal compliance.

Transferring your personal data

Given that the Internet is a global environment, using it to collect and process personal data necessarily involves the transmission of data on an international basis.  This means for instance that data you pass to us may be processed outside the European Economic Area, although the data will always be held securely and in line with the requirements of South African data protection legislation (including GDPR).  By communicating electronically with us, you acknowledge and agree to our processing of personal data in this way.

Changes to our privacy statement

We keep our privacy statement under regular review and reserve the right to make changes at any time. We will place any updates on this webpage. This privacy statement
